Travel budgets: separate exchange-rate scenarios from a cash buffer
A travel budget becomes easier to audit when accommodation, transport and daily spending are first recorded in destination currency.
Start with expenses in their actual currency
A travel budget becomes easier to audit when accommodation, transport and daily spending are first recorded in destination currency. Convert the destination subtotal afterward. A cash buffer is a separate planning choice, not a prediction of currency movement. This article demonstrates a worksheet rather than recommending a spending amount or payment product.
The shaded band is a fixed 100 USD reserve above the converted 1,000 EUR expense estimate. Rates are hypothetical scenarios; the band is not a forecast or confidence interval.

Assume destination expenses of 600 EUR for accommodation, 150 EUR for transport and 250 EUR for other spending: 1,000 EUR total. At assumed rates of 1.05, 1.10 and 1.15 USD per EUR, the same expenses convert to 1,050, 1,100 and 1,150 USD. The scenario range is 100 USD. These invented rates describe sensitivity; they are not forecasts or currently quoted travel-money prices.
Worked example: Low-rate total USD: 1150; Middle total USD: 1200; High-rate total USD: 1250. Invented values; units follow the row labels and article.

If the worksheet uses an illustrative 100 USD reserve, add it after conversion: the three totals become 1,150, 1,200 and 1,250 USD before payment charges. Keeping the reserve on a separate row prevents a later reader from assuming the entire difference comes from exchange rates. A percentage reserve would produce different cash amounts across the scenarios, so label whether the buffer is fixed or proportional.
Calculation checklist: Destination subtotal: 1,000 EUR; Fixed example reserve: 100 USD; Scenario range before fees: 1,150–1,250 USD. Preserve these definitions when reproducing the example.

Preserve the destination expense estimates when refreshing a rate comparison unless those expenses also changed. Record the effective date and source of the rate, and list card, cash-withdrawal or conversion charges separately if known. The currency converter supplies arithmetic and dated reference information; it does not evaluate a travel-money product. An informational benchmark cannot guarantee the rate available at a cash machine or payment terminal.
